This privacy policy sets out how Speaking Works uses and protects any information that you give Speaking Works when you use this website, including any information you may provide through our site when you purchase a product or service, sign up to our newsletter or take part in a prize draw or competition.
Speaking Works is the data controller and we are responsible for your personal data (referred to as “we”, “us” or “our” in this privacy notice). Speaking Works is committed to ensuring that your privacy is protected.
Please note that work involving children and young people is conducted separately under our sister brand Finding Voices, which has its own privacy policy.

1. Personal Data We Collect
Personal data means any information capable of identifying an individual. It does not include anonymised data. We may process the following types of personal data about you:
Identity Data: first name, last name, username, title, job title and organisation.
Contact Data: billing address, email address and telephone numbers.
Financial Data: bank account and payment card details.
Transaction Data: details about payments and purchases made by you.
Technical Data: login data, internet protocol addresses, browser type and version, time zone setting and location, operating system and platform.
Profile Data: username and password, purchases or orders, your interests, preferences, feedback and survey responses.

Marketing Communications
You will receive marketing communications from us if you have requested information, purchased goods or services, or provided your details when entering a competition or registering for a promotion — and you have not opted out of receiving that marketing.
We will never share your personal data with any third party for their own marketing purposes. Your details stay with us.

AI and Digital Tools
We may use AI-powered tools (such as transcription, content drafting or analysis tools) in the course of preparing or delivering our training services. Where such tools process personal data, we ensure appropriate safeguards are in place and will not input identifiable client or delegate information into third-party AI tools without appropriate consent or contractual authority.
4. Disclosures of Your Personal Data
We may share your personal data with the following parties for the purposes set out in this policy:
Service providers who provide IT and system administration services
Professional advisers including lawyers, bankers, auditors and insurers
HM Revenue & Customs, regulators and other authorities who require reporting of processing activities
In the unlikely event of a business sale, merger or transfer of assets, your data may transfer to the new owner, who would be bound by the same data protection obligations
We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We only allow third parties to process your personal data for specified purposes and in accordance with our instructions.
We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so.
5. International Transfers
Some of our third-party service providers are based outside the UK, including analytics providers such as Google. Where we transfer personal data outside the UK, we ensure a similar degree of protection is afforded to it by implementing at least one of the following safeguards:
Transferring to countries that have been deemed to provide an adequate level of protection for personal data by the UK government
Using specific contracts approved by the UK Information Commissioner’s Office (the International Data Transfer Agreement or Addendum)

6. Data Processing Agreements
Where we deliver training or coaching services within your organisation and process personal data relating to your employees or delegates on your behalf, we may be acting as a data processor on your behalf. In such cases, we are happy to enter into a Data Processing Agreement (DPA) with you. Please contact us at jude@speakingworks.co.uk to request one.
7. Data Security
We are committed to ensuring that your information is secure. We have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.
We limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and are subject to a duty of confidentiality.
We have procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
8. Data Retention
We will only retain your personal data for as long as necessary to fulfil the purposes for which we collected it, including satisfying any legal, accounting or reporting requirements.
By law we are required to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they cease being customers for tax purposes.
Analytics data collected via Google Analytics will be retained for a period of 26 months, after which it is deleted or anonymised.
In some circumstances we may anonymise your personal data for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

To exercise any of these rights, please email us at jude@speakingworks.co.uk. You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive.
We will try to respond to all legitimate requests within one month. If your request is particularly complex or you have made a number of requests, we will notify you and keep you updated.
If you are not satisfied with how we handle your personal data, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at www.ico.org.uk.
10. Analytics and Advertising
We track visitors to our website using Google Analytics, which logs your activity on our website. This helps us understand how to improve the site. Personal analytics data is retained for 26 months.
We use Facebook Pixels to enable us to re-target website visitors with Facebook and Instagram adverts and to understand the effectiveness of those ads. If you would like to revoke permissions for us and other advertisers to use your data in this way, please visit Facebook’s ad preferences page.
